Admin Support Scheme
For 2011/12, The Works is receiving funding from Arts Council England to enable us to deliver an Administration Support Scheme to Cornish companies and artists. Throughout the year, we will be able to offer up to 100 days of Works staff time to help you develop your own administration/management capacity. We will charge you £40 per day (7.5 hours) for this support (= £5.33 p.h.). The current National Minimum Wage for over 21s is £5.93 p.h.
What’s Happened to the Idea of a Shared Administration Scheme?
We held several meetings and had various conversations and consultations with companies and artists in the sector. The overall response was that a scheme that could be drawn on, on an ad hoc basis, rather than one which tied companies into a two or three year agreement, would be more appropriate at the moment.
Is The Works going to be charging me for everything now?
No! The Works will continue to give you free advice (which you can count as in-kind support in funding bids). We will only charge you when you ask us to do something that you would normally do yourselves.
Aims of the scheme
The purpose of the Admin Support Scheme is to provide support for companies/artists, to enable them to plan and deliver their work more effectively. The scheme is designed to help you move towards a more robust administration and to enable you to develop your work/organisation more effectively.
What can we do?
We can carry out a range of admin tasks for you, including:
Marketing
Databases
Finance
Mail-shots
Project co-ordination
Contracts
Tour booking support (NB: Not tour booking)
Evaluation support
Website maintenance
Research
PR
Facilitation of meetings
Board support (e.g. Minutes, co-ordinating Board meetings)
NB: This list is not exclusive, so please talk to us if you have other admin tasks that you need support with.
How do we access this support?
There is a simple application form for you to complete. If your application meets the aims of the scheme (see above), we will then invite you to a meeting to discuss the tasks in more detail and draw up an agreed work-plan. The work-plan will operate as the contract between The Works and you.
How far in advance do i need to book my days in?
Generally speaking, we will need all work to be scheduled in at least two weeks in advance, so that we can balance the needs of all participating companies and of The Works.
What if I only want to use two or three hours at a time?
You can use as little as an hour at a time. We will keep a record of the time you have used, and we will then invoice you on a monthly basis, up to the limits we have agreed with you. If you have used fewer than four hours in any one month, we will carry this forward to the next month’s invoice.
What if we’re not happy with the service we receive from The Works?
It is the companies/artist’s responsibility to adequately brief The Works on the tasks to be carried out. It is The Works’ responsibility to agree to a task only if the outputs have been clearly stated by the company/artist, and if The Works are confident that it has both the capacity and the ability to deliver effectively and on time. In the event of a dispute, and after all reasonable steps have been taken by both parties to resolve the dispute, a mutually agreeable, independent arbitrator will be invited to adjudicate.
